![]() Rules & Submission Guidelines INTRODUCTION: 2017 marks the 60th anniversary of the establishment of diplomatic relation between Japan and Malaysia. The diplomatic relationship between Japan and Malaysia was established in 1957. Since then, bilateral relations have been strengthened through the implementation of the Look East Policy, economic relations, cultural and people-to-people exchanges. In commemorate with the 60th anniversary of the establishment of the diplomatic relation, Ministry of Foreign Affairs, Japan (including Embassy of Japan in Malaysia) would like to invite all Malaysian and Japanese nationality to participate in our logo design competition. ELIGIBILITY: The logo contest is opened to all Malaysian and Japanese nationality. If you are under the age of 12, your parents must sign the consent block on the Official Entry Form, to ensure that you have your parent or legal guardian’s permission to enter the contest. ENTRY: To enter the contest, eligible participants must accept and agree to comply with the contest rules and submission guidelines. - Participants can submit a maximum of 2 entries but must be separate submissions. - Entries will only be accepted from individuals, not from pairs, teams or groups - Entries which do not adhere to the rules and guidelines will not qualify for judging. - A description of the logo must be submitted, and should not exceed 200 words. Note: The explanation of the winning design will be publicised. LOGO DESIGN GUIDELINES: a. Must be creative, original and not previously published both in Japan and abroad. b. The logo must reflect the 60th Anniversary of the Establishment of Diplomatic Relationship between Japan and Malaysia. c. The logo must have both Japanese and Malaysian flag. d. The logo must have number 60. e. Logo will not include any material (photograph, icon, symbol etc) that is copyright protected by any person or organisation/club/society. f. The logo must reproduce well in electronic and print media. g. Should be legible when reproduce on small and large scale and various surfaces h. Visually effective when used in color or in grayscale. SUBMISSION GUIDELINES: A signed statement by the participant that the logo design does not and will not violate copyrights, trademark rights, or infringe upon other rights of any third parties is required. • Only entries by e-mails are accepted. All logo entries must be submitted together with an entry form to edu@kl.mofa.go.jp • The acceptable image file formats are .png, .jpg, jpeg, vector & pdf (Resolution of 300 dpi and file size less than 3 MB). Your logo design is only required in ONE of the above mentioned formats. Note: The submitted design may be requested to be converted to another format. • Entries should be submitted in both color and its black and white version. • If the logo incorporates fonts, you must be able to provide us with the font names should your logo be selected. Ministry of Foreign Affairs, Japan reserves the right to accept or to reject any or all submissions that do not meet the requirements for participation and/or competition. Incomplete entries will be declared void and will not be eligible for judging. Deadline For Entries Your logo design and completed entry form must be sent by Tuesday, 15th November, 2016 to edu@kl.mofa.go.jp PRIZES & AWARDS: The winning logo design will receive: 1) A certificate from Ambassador Extraordinary and Plenipotentiary of Japan to Malaysia. 2) An invitation to the official logo launch (will be announce later). 3) Artistic credit for their winning design, in print and other media; and 4) The opportunity to be featured on Ministry of Foreign Affairs, Japan web site. JUDGING CRITERIA: Judging will be carried out according to the following criteria: - Originality of the design - Visual appeal reflecting goals, objectives & aspirations of - Adherence to the logo design guidelines Selection of Winners The submitted logo designs will be evaluated in Tokyo and Malaysia, and only one final design will be selected through the discussion between both governments in Japan and Malaysia. (The Ministry of Foreign Affairs of Japan reserves the right not to select a winner, if, in its sole discretion, no suitable entries are received.) Announcement of Results The result will be announced on the website of the Ministry of Foreign Affairs of Japan, and that of the Embassy of Japan in Malaysia. In the event that no entry is selected, Ministry of Foreign Affairs, Japan reserves the right to declare no winner and run the contest again at a later date if so desire. The decision of the Ministry of Foreign Affairs, Japan will be final and no appeal against the decision will be considered. INTELLECTUAL PROPERTY RIGHTS: • The submitted logo design must be an unpublished one both in Japan and abroad, and does not and will not violate copyrights, trademark rights, or infringe upon other rights of any third parties. • In the event that any works are found to infringe the provisions of public order and standards of decency stipulated in the laws and regulations, contain defamatory contents, infringe the intellectual property rights of any third party, and so forth, the entry shall be rejected even after it is selected as the winning design. In addition, if the submitted design is found to resemble a similar artwork, the Ministry of Foreign Affairs of Japan reserves the right to reject it even after it is selected as the winning design. The Ministry of Foreign Affairs of Japan shall assume no responsibility whatsoever for any inconvenience and damage that may arise as a result of the aforementioned cases. • Any falsifications made in the entry will render it null and void even after the submitted design is selected as the winning design. • The selected design may be subject to instructions for alterations and corrections and deemed as the final design after such actions are completed. However, if the design or the applicant is unable to fulfil such conditions, or is unable to agree on the design alteration, the entry will be rejected even after it is being selected as the winning design. • Designs submitted for entry in the competition will be considered the exclusive property of the Ministry of Foreign Affairs of Japan and all copyrights pertaining to the submitted design will belong to the Ministry of Foreign Affairs of Japan (including rights of translation, adaptation, etc stipulated in the Article 27 and right of the original author in the exploitation of a derivative work stipulated in the Article 28 of the Copyright Law) In addition, the entrant of the selected design shall not exercise moral rights of an author, and all other rights pertaining to the selected design shall belong to the Ministry of Foreign Affairs, Japan. • Authorised usage of the completed design shall be given by Ministry of Foreign Affairs, Japan (including the Embassy of Japan in Malaysia) and the Malaysian Government for the events related to the 60th Anniversary of Japan-Malaysia Diplomatic Relation. As a general rule, any alterations on the design other than size adjustment and monochrome conversion will not be carried out. • Personal information of the entrants will not be disclosed to any third party with the exception of name and organisation. • We will not send you an acknowledgement of receipt as well as notification to the successful/unsuccessful entries. Moreover, we will not respond to any enquiries on the selection process. • Ministry of Foreign Affairs, Japan reserves the right to modify all or any element of the logo design, colours, fonts, etc. at any time in the future as it deems necessary. AGREEMENT TO OFFICIAL RULES: By participating in the contest, participants agree to abide by the rules and conditions as established above, which can be amended or modified at any time by the Ministry of Foreign Affairs, Japan.
